Accessing My Briefcase

  • Log into Safe-mail.
  • Click on the "Briefcase" icon in the main toolbar.
  • Now you are ready to begin using your Briefcase or access other user's Briefcases!

The Briefcase Main Menu

The main menu contains the following actions:
  • "My Briefcase" - displays the Top Level of your Briefcase.
  • "Other's Briefcase" - displays Briefcases of other Safe-mail users to which you have access.
  • "New File" - allows you to add a file to the folder, which is currently displayed (including your top level).
  • "New Folder" - allows you to create a new folder in the top level or the displayed folder (sub-folder).

The Top Level View

The Top Level is like the 'root directory' of your briefcase. After you click on the Briefcase button, you will see the Top Level of your briefcase, which contains your folders and any file that was uploaded to your top level.

Navigating Within The Briefcase

There are several ways to navigate within your briefcase:
  • Quick Access - The upper line of your Briefcase displays the path of your current view (Always with the Top Level at the beginning). To access any folder on the path simply click on it.
  • Clicking on any folder will open it and display it's contents (sub-folders and files).
  • Clicking on a file's subject will open the file's Detailed Description/Previous Versions window.
  • Select a folder from the drop down menu, which is located above the folder/file list, and press the "Show Group" button. The selected folder will be displayed.
  • Clicking on "My Briefcase" in the main menu will take you to the Top Level.
Remark: Since Safe-mail enforces strict security and encryption policies, it is not possible to navigate using the browser's "Back" button.

Creating Folders

  • Click on "New Folder" link on the main menu.
  • A window will be displayed requesting to enter the folder's name and other settings (see "Managing Folders" in this document).
  • Select the location of the folder at the "Create at" Drop Menu. (The default location is the level from which you pressed the "New Folder" link.
  • Enter the folder's name.
  • Enter the folder's description, which will be displayed next to the folder's name.
  • Click on the "Save" button
  • A new Folder is set-up and is displayed for the User to add files or create subfolders.
Remark: You can change the Folder's initial settings at any time - (see "Manage Folders" in this document).

Uploading Files

  • Click on the Folder you would like to store the file into.
  • Click on "New File" link on the main menu.
  • A window will be displayed requesting to enter the filer's name and other settings (see "Managing Files" in this document).
  • Select the destination folder at the "Create at" Drop Menu. (The default location is the level from which you pressed the "New Folder" link.
  • Enter the file's subject (can be any text). If this field is left empty then Safe-mail will display the file's name instead.
  • Enter the file's description, which will be displayed next to the file's subject.
  • Enter the current version's comments, which will be displayed in the Detailed Description/Previous Versions window (see "Managing Multiple Versions Of The Same Document" in this document).
  • Select the file you wish to upload using the "Browse" button.
  • Optional - Enter Version Control, Sharing and Notification Settings (See relevant descriptions in this document according to the subject).
  • Click on the "Save" button.
  • A new File is set-up and is displayed for the User to access, share or update.
Remark: You can change the File's initial settings at any time - (see "Manage Files" in this document).

Accessing \ Downloading Files

  • Click on the folder, which contains the file you wish to download.
  • The contents of the folder are displayed (sub-folders and files).
There are several ways to access\download the requested file:
  • Click on the file's version number (located left of the file's creation date) .
  • If the browser recognizes the requested file, it will be opened in the browser's window.
  • If the browser does not recognize the requested file, a dialog box will display the download options (open, save, etc).
  • Alternatively, right-click over the file's version number (located left of the file's creation date).
  • In the context menu that will pop up - choose "Save Target As".
  • Select the destination directory in your local computer to which you wish to save the file.
  • Click on the "save" button.
  • Finally, a third method is possible - Click on the File's Subject.
  • The file's Detailed Description/Previous Versions window will open.
  • Click on the file's name. (or , right-click over the file's name and choose "Save Target As").
  • Select the destination directory in your local computer to which you wish to save the file.
  • Click on the "save" button.

Managing The Folder's Settings

  • Select any folder using the checkbox, which is located to the left of the folder's name.
  • Click the "Settings" button.
  • The Folder's Settings window will appear.
  • Update any relevant parameter, including Name, Description, Location, Version Control, Sharing and Notifications.
  • Click on the "Update" button to save the changes.
Remark: Selecting the checkbox "Update all sub folders and files settings" before pressing the "Update" button will subsequently update the settings of all the sub-folders and the files that are located in that folder.

Managing The File's Settings

  • Click on the File's Subject.
  • The file's Detailed Description/Previous Versions window will open.
  • Click on the "Settings" button.
  • The File's Settings window will appear.
  • Update any relevant parameter, including Name, Description, Location, Version Control, Sharing and Notifications.
  • Click on the "Update" button to save the changes.

Moving Folders

  • Select any folder using the checkbox, which is located to the left of the folder's name.
  • Select the destination folder from the drop down menu, which is located above the folder list.
  • Click on the "Move to Folder" button.
Remark: More than one folder can be selected and moved at a time..

Moving Files

  • Select any file using the checkbox, which is located to the left of the file's subject.
  • Select the destination folder from the drop down menu, which is located above the file's list.
  • Click on the "Move to Folder" button.
Remark: More than one file can be selected and moved at a time..

Deleting Folders

  • Select any folder using the checkbox, which is located to the left of the folder's name.
  • Click on the "Delete" button, which is located above the folder list.
  • More than one folder can be deleted at a time.
Remark: Any sub-folders and files that are located in the deleted folder will also be deleted! ! !. There is no possibility for an "Undo" operation

  • Click on the "Delete" button, which is located above the file list.
  • More than one file can be deleted at a time.
Remark: Any sub-folders and files that are located in the deleted folder will also be deleted! ! !. There is no possibility for an "Undo" operation

Email A File Directly From Your Briefcase

The Safe-mail platform allows you to send files as e-mail attachments directly from your Briefcase!
  • Select the file or files to be sent.
  • Click on the "Email File" button.
  • An new e-mail message will be displayed with the selected file as attachments
  • Add the e-mail addresses to send file and for multiple accounts use commas or spaces between addresses
  • You may add a subject and any other text to the message just like a regular email.
  • Click on the "Send" button to send the e-mail message with the selected files as an attachment

Save e-mail Attachments Directly To Your Briefcase

The Safe-mail platform allows you to save e-mail attachments directly to your Briefcase without having to download them first!
  • From your mailbox, select the e-mail message that contains the attachment(s).
  • Click on the "Save Attachments To My Briefcase" link.
  • The "Save Files To My Briefcase" window will appear.
  • Select the destination folder using the drop down list.
  • Using the checkboxes next to each file, select the files you wish to save to your Briefcase.
  • To every selected file add a Subject, Description and Version Comments. You can leave those fields blank. The default Subject of a file is the file's name.
  • Click on the "Save" button.
  • You can now access the saved files directly from your Briefcase!

Sharing Selected Files and Folders With Other Safe-mail Users

You can easily share any file or folder with other Safe-mail users.
Sharing enables other users to access any selected content by you.
You get to set for each user the level of the access privileges (No Access, Read only or Read/Write)

Access levels to shared information

  • "Read only" - Allows the user to access a folder/file without the possibility of uploading or updating it.
  • "Read and Write" - Allows the user to access a folder/file and to upload newer/updated versions on it.

Shared Folders

These are the folders, which are shared by other Safe-mail users.
It is possible to set the level of sharing of a specific folder:
  • "Shared By All Registered Users" –Anyone who is registered to Safe-mail can get access to the shared folder (like a public folder).
  • "Shared By Selected Users" - Only the users on the list will be granted access rights.
Remark: Sharing a folder will enable the sharing of any sub-folder and file within the shared folder. For example, sharing the Top Level will give access to all your files and folders.

Shared Files

These are the files, which are shared by other Safe-mail users.
It is possible to set the level of sharing of a specific file:
  • "Shared By All Registered Users" –Anyone who is registered to Safe-mail can get access to the shared file (like a public file).
  • "Shared By Selected Users" - Only the users on the list will be granted access rights.

Sharing Your Entire Briefcase With Other Safe-mail Users

Simply add the sharing privileges in the Top Level of your Briefcase and select the checkbox "Update all sub folders and files settings" before pressing the "Update" button.

    • Click on the "Update" button to save the changes.
Remarks:

You can enable the sharing of a file anytime by doing one of two options:
  • During the initial upload of the file - Select the option that best matches your preferences:
    • "Read Only - All Registered Users"
    • "Read Only - Only users listed in the following space or comma separated list"
    • "Read and Write - All Registered Users"
    • "Read and Write - Only users listed in the following space or comma separated list"

  • To an existing file it is always possible to access the "Settings" menu and to add sharing:
    • Click on the File's Subject.
    • The file's Detailed Description/Previous Versions window will open.
    • Click on the "Settings" button.
    • The File's Settings window will appear.
    • Update the sharing options according to your preferences.
    • Click on the "Update" button to save the changes.
Remarks
  • Enabling the sharing of a file will affect all of its versions.

Viewing Who Has Access Permissions To A Folder

  • Select any folder using the checkbox, which is located to the left of the folder's name.
  • Click on the "Settings" button.
  • The Folder's Settings window will appear.
  • Click on the "Permissions" link
  • The relevant sharing information of the folder will be displayed

Viewing Who Has Access Permissions To A Specific File

  • Click on the File's Subject.
  • The file's Detailed Description/Previous Versions window will open.
  • Click on the "Settings" button.
  • The File's Settings window will appear.
  • Click on the "Permissions" link
  • The relevant sharing information of the file will be displayed

What Are Notifications?

The notification option enables you or any other user with access rights to receive an alert every time a new file is added to a folder, a file is updated with a newer version, etc..

Setting Notifications

  • Access the "Settings" page of a file or a folder.
  • Select the notification option according to your preferences:
    • Don't notify.
    • All members.
    • The listed addresses.
Remark: Only you can set the notification options for the users who have access to your information.
